Terms of Service
1. Registration & Enrollment
1.1 Registration Process: All students must complete the online registration form and submit required documentation. Registration is not complete until payment is received and confirmed.
1.2 Age Requirements: Programs are designed for students ages 4-18. Students must meet age requirements for their selected program level.
1.3 Class Placement: Russian Language & Arts Charlotte reserves the right to place students in appropriate class levels based on assessment and proficiency evaluation.
1.4 Class Schedule: Saturday classes run from 10:00 AM to 2:00 PM. Friday classes run from 4:30 PM to 8:30 PM. All in-person classes are held at 6100 Sardis Rd, Charlotte, NC 28270.
2. Tuition & Payment
2.1 Registration Fee: A non-refundable registration fee of $160 per student is due at the time of enrollment.
2.2 Tuition: Tuition is $170 per student per month. Payments are made on a semester basis: Fall Semester (4 months = $680) and Spring Semester (5 months = $850). Full payment is due before the first day of classes unless a payment plan has been arranged.
2.3 Payment Due Dates: Registration fee is due by August 5th. Fall semester tuition is due by September 6th. Spring semester tuition is due by January 6th.
2.4 Payment Methods: We accept Zelle payments only. Send to (980) 585-6880.
2.5 Late Payments: A $20 late fee will be assessed for payments not received by the due date. After 30 days late, students may be suspended from classes until payment is received. Accounts more than 60 days overdue may result in expulsion from the program.
3. Refund Policy
3.1 Registration Fee: The $160 registration fee is non-refundable under all circumstances.
3.2 Tuition Refunds: Full refunds of tuition (minus registration fee) are available if withdrawal occurs before the first day of classes. After classes begin, refunds are prorated within the first 2 weeks. Refunds are processed within 30 days of withdrawal notice.
3.3 No Refunds After: No refunds will be issued after 2 weeks into the semester, regardless of reason.
4. Attendance & Student Conduct
4.1 Attendance: Regular attendance is mandatory for academic success. Excessive absences may result in dismissal from the program.
4.2 Punctuality: Students must arrive on time for all classes. Only three tardiness are allowed per academic year. Habitual lateness may result in dismissal from the program.
4.3 Behavior Expectations: Students are expected to conduct themselves respectfully and follow classroom rules. We maintain a zero tolerance policy for harassment, bullying, or disrespectful behavior. Disruptive behavior may result in removal from class without refund.
4.4 Academic Integrity: Cheating, plagiarism, or academic dishonesty will not be tolerated and may result in dismissal from the program.
5. Health & Safety
5.1 Illness Policy: Students who are ill should stay home. Parents must notify the school if a student will be absent.
5.2 Medical Information: Parents must provide accurate medical information during registration, including allergies, conditions, and medications.
5.3 Emergency Contact: Parents must maintain current emergency contact information on file.
5.4 Pickup Authorization: Students will only be released to authorized individuals listed on the registration form.
6. Liability Waiver
6.1 Release of Liability: Parents/guardians agree to release and hold harmless Russian Language & Arts Charlotte, its directors, staff, and volunteers from any claims, damages, or injuries arising from participation in school activities.
6.2 Property Damage: The school is not responsible for lost, stolen, or damaged personal property.
6.3 Photography/Video Notice: By enrolling your child, you acknowledge that photos and videos may be taken during school activities, performances, and events. These images may be used on the school website, social media, promotional materials, and internal communications. Full names are generally not published with photos.
7. Program Changes & Cancellations
7.1 Schedule Changes: Russian Language & Arts Charlotte reserves the right to modify class schedules, combine classes, or make program changes as necessary.
7.2 Cancellations: In the event of program cancellation by the school, full refunds will be provided.
7.3 Weather/Emergency Closures: Classes cancelled due to weather or emergencies will be made up when possible. No refunds for emergency closures.
8. Communication & Updates
8.1 Email Communication: Official communications will be sent via email. Parents are responsible for checking email regularly and maintaining current email addresses.
8.2 Progress Reports: Parents will receive a progress report at the end of Fall semester (December) and a final report at the end of Spring semester (May) detailing student performance and advancement.
8.3 Parent Group: Parents are expected to join and actively participate in the parent WhatsApp/communication group for important updates and announcements.
9. Parent Volunteer Program
9.1 Volunteer Requirement: Each family must provide one parent volunteer per student, twice a year to assist with school operations including hall monitoring, arrival/dismissal assistance, and classroom support.
9.2 Opt-Out Fee: Families unable to volunteer may pay an opt-out fee of $30 per semester ($60 for the full year). This fee is due with the first tuition payment.
9.3 Scheduling: A volunteer calendar will be sent at the beginning of each semester. Parents must sign up for their preferred date and arrive 20 minutes before class starts.
10. Academic Year & Re-enrollment
10.1 Academic Year: The academic year runs from September through May. Fall semester is September through December (4 months). Spring semester is January through May (5 months).
10.2 Re-enrollment: Registration for the new school year opens in May. Returning students must re-register each year. Early registration is encouraged to secure placement.
10.3 New Student Registration: New student registration is open year-round, subject to class availability. Mid-year enrollment may require prorated tuition.
11. Privacy & Data
11.1 Information Collected: During registration, we collect personal information including: parent/guardian names and contact information (address, phone, email); student names (English and Russian), dates of birth, and language proficiency; emergency contact details; medical information (conditions, allergies, medications, special needs); insurance information; and healthcare provider details.
11.2 Use of Information: Information is used solely for school operations including enrollment, communication, emergency response, and academic records. We do not sell or share personal information with third parties for marketing purposes.
11.3 Data Security: Personal information is stored securely and access is limited to authorized school personnel. We use industry-standard security measures to protect your data.
11.4 Parent Access: Parents may request to view, update, or correct their information at any time by contacting the school office.
11.5 Data Retention: Student records are retained for the duration of enrollment plus a reasonable period thereafter for administrative purposes and legal compliance.

12. Governing Law
These Terms of Service shall be governed by and construed in accordance with the laws of the State of North Carolina, without regard to its conflict of law provisions.
